About HomeForce Property Management

HomeForce Property Management Limited is a growing Edinburgh letting agency providing residential property management, lettings, maintenance and landlord compliance services. We are part of the wider HomeForce business, established in 2004, which also provides maintenance coordination, job opportunities and business support services to local tradespeople. We're a small, friendly and ambitious team, committed to excellent customer service, efficient working practices and making intelligent use of technology.

The Role

We're looking for an enthusiastic, personable and motivated individual to join us as a Trainee Property Manager.

Responsibilities

  • Act as the first point of contact for landlords, tenants, contractors and prospective clients, resolving enquiries and providing application support via telephone, email and inhouse software platform
  • Become a Super User of ServiceM8 and HomeForce's Job Management System, supporting users and promoting best practice
  • Triage support requests to the appropriate team, including Property Management, Maintenance, Compliance, System Administrators and external software providers
  • Use Microsoft Packages such as Outlook and Teams to email internal and external stakeholders and transcribe and summarise meetings
  • Use Adobe for signatures on digital documents
  • Manage customer enquiries, digital records, tenancy documentation and property information across business systems
  • Support property viewings, inspections, tenant onboarding and landlord compliance processes
  • Use HomeForce's Job Management System to coordinate maintenance, repairs, scheduling, communications, inspections and workflow management
  • Support HomeForce's tradesperson services and job management operations through effective use of digital systems
  • Identify opportunities to improve processes through AI, automation and digital technologies
  • Support marketing, social media and client engagement activities using digital tools
  • Maintain accurate data, produce reports and adhere to data protection and information security requirements

Who We're Looking For

Above all, we're looking for someone with the right personality and attitude. You'll be:

  • Friendly, confident and personable, with excellent communication skills and a professional telephone manner
  • Enthusiastic and motivated to learn, with a genuine interest in property, business and technology
  • Comfortable working independently, managing your workload and getting on with tasks without constant supervision
  • Confident enough to use your initiative, but self-aware enough to recognise when to ask questions or seek guidance
  • Exceptionally attentive to detail – this is an absolute must
  • Willing to learn and follow established procedures, understanding why they exist before suggesting ways to improve them
  • Organised, practical and outcome-focused, with the determination to see tasks through to completion
  • Curious about technology, including digital systems, AI and automation

An interest in property, buildings or the trades industry would be an advantage, but previous experience isn't essential.

Essential Requirements

  • Full, clean UK driving licence (or equivalent valid in the UK)
  • Excellent spoken and written English
  • Comfortable working from our Edinburgh office, with regular property visits as required. Home working is not available
  • Basic computer literacy and confidence learning new software

Benefits

  • HomeForce will fund your training towards the SCQF Level 6 Certificate in Property Agency (Lettings) – Scotland, or another recognised qualification meeting the Scottish Government's letting agent training requirements
  • Salary review after six months, based on progress, performance, and developing responsibilities
  • Company-funded apprenticeship and professional property management training
  • Workplace pension
  • 28 days' annual leave, including public holidays
  • Company car available for business-related travel
