About the Role
The Senior Facilities Coordinator will complete a range of admin tasks to support the UK Facilities Management team from updating spreadsheets and databases to working with contractors and managing site visitors who support the team.

Responsibilities
Day-to-Day Facilities Coordination
- Coordinate day-to-day facilities activities across assigned sites to ensure continuity of service.
- Manage reactive and planned maintenance requests through the Facilities Helpdesk system, ensuring timely resolution and communication with stakeholders.
- Monitor service delivery performance and escalate issues where service levels are not being achieved.
- Support workplace projects, including office relocations, space planning activities, and workplace adaptations.
Communications & Administration
- Monitor and manage Facilities shared mailboxes, ensuring service requests, enquiries, and escalations are addressed promptly and professionally.
- Draft and distribute facilities communications, service updates, workplace notices, and employee bulletins.
- Support Facilities Managers in the development and delivery of employee engagement and workplace communications.
Contractor & Supplier Management
- Coordinate contractor and service provider activities across site(s).
- Schedule maintenance visits, inspections, and service work with minimal disruption to business operations.
- Maintain accurate contractor records, including insurance certificates, Risk Assessments and Method Statements (RAMS), service reports, permits, and waste transfer documentation.
- Manage contractor Job Registrations and associated compliance documentation.
- Coordinate the Security Access Request (SAR) process, ensuring contractors and visitors meet site access and security requirements.
- Assist with contract administration, supplier quotations, renewals, and procurement activities.
Compliance, Health & Safety
- Support statutory and regulatory compliance audits across facilities operations.
- Coordinate workplace inspections, GEMBA walks and out-of-hours Treasure Hunts.
- Maintain accurate compliance records, certifications, and documentation.
- Assist with risk assessments, action tracking, and closure of corrective actions.
- Support health, safety, and environmental initiatives, promoting a culture of safe working practices.
- Monitor and report facilities-related compliance issues and support corrective action implementation.
Training & Continuous Improvement
- Support the development, coordination, and delivery of Facilities Management training programmes and initiatives.
- Act as the Facilities representative on the Training Council, promoting learning, development, and knowledge sharing across the function.
- Identify opportunities to improve facilities processes, administrative efficiencies, and service delivery standards.
- Support continuous improvement projects and workplace enhancement initiatives.
Asset & Inventory Management
- Maintain accurate records of facilities assets, equipment, furniture, and workplace inventory.
- Coordinate repairs, replacement programmes, and procurement of facilities-related goods and services.
- Monitor stock levels of workplace consumables and office supplies, ensuring availability whilst maintaining cost control.
- Support asset tracking, audits, and lifecycle management activities.
Financial Administration
- Raise purchase orders and process invoices in accordance with company procedures.
- Assist in monitoring facilities expenditure and budget performance.
- Support supplier invoice reconciliation and investigate discrepancies where required.
- Maintain accurate financial and purchasing records.
Customer Service & Stakeholder Engagement
- Act as the first point of contact for facilities-related enquiries, requests, and support.
- Support office moves and workplace planning activities, including coordinating open-plan workspace bookings, meetings, events, and briefing requests.
- Build positive working relationships with internal departments and external service providers.
- Communicate planned works, service disruptions, and facilities updates effectively and professionally.

Skills and Experience
Essential:
- GCSEs (or equivalent) including English and Mathematics (Grade C/4 or above).
- Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
- Experience in a facilities management, workplace services, property, or office management environment.
- Strong administrative, organisational, and coordination skills.
- Excellent communication and stakeholder management capabilities.
- Experience using facilities management, maintenance, or helpdesk systems.
