Senior Property and Facilities Manager

Location: London based with weekly visits to Aylesbury and Stoneleigh

Team: Operations

Reports to: Chief People Officer

Salary: Competitive

About the role

The Senior Property and Facilities Manager will manage the maintenance, safety, and management of the Royal Kennel Club building's employees, members, contractors and visitors. Collaborating with internal colleagues and external contractors, they will oversee a building preventative maintenance programme that ensures buildings are running smoothly.

Requirements

  • Proven experience as a Property and Facilities manager or similar role, preferably in a multi-site environment.
  • Strong knowledge of building maintenance, repair, and safety procedures.
  • Understanding of legal requirements and regulations related to health, safety, and the environment.
  • Must have achieved or studying towards an IOSH or NEBOSH qualification or an equivalent qualification such as IWFM Level 6 or MSc in Facilities Management
  • Qualified Fire Warden and First Aider
  • Experience of managing relationships with multi tenants
  • Previous experience of managing budgets.
  • Good understanding of BMS functions and systems.
  • Use of own car is preferable as regular travel to non-London sites
  • Able to attend out of hours call outs and emergencies late evenings or weekends

Property Management

  • Management of The Royal Kennel Club's property portfolio including, leasing, development of properties and management of third-party partners.
  • Oversight of property maintenance, repairs, refurbishments and renovations, ensuring work is completed to high standards, within agreed timelines, whilst remaining cost-effective.
  • Performing routine building inspections and producing condition reports.
  • Manage space planning, monitor and make recommendations on allocation to optimise utilisation and efficiency.
  • Maintaining records related to maintenance, costs, and building occupants.
  • Manage landlord and tenant relationships, including negotiation of leases and rent reviews.
  • Responding to inquiries from tenants, staff, members, or the general public.

Facilities Management

  • Planning and supervising building maintenance tasks with a variety on sub-contractors
  • Liaising with external contractors and service providers.
  • Oversee all cleaning contractors on all sites ensuring excellent service attend monthly review meetings
  • Manage relationships with external M+E service providers, monitoring performance and attend monthly review meetings

Leadership and Team Management

  • Hiring, training, supervising, and evaluating maintenance, security, and cleaning staff.
  • Lead, mentor, and develop the property and facilities team.
  • Report regularly to the CPO /other key stakeholders on performance and delivery

Health and Safety

  • Management and oversight of the Health and Safety committee, ensuring the organisation remains compliant at all times; escalating any key areas of concern to the COO.
  • Oversee building safety for tenants, occupants and visitors.
  • Overseeing fire prevention and security systems.
  • Executing emergency procedures, including development and implementation of emergency response plans and procedures.
  • Oversee and/or complete risk assessments for all works carried out and for all events held at The Royal Kennel Club properties.
  • Oversee online Accident/Near Miss and Hazard reporting and RIDDOR investigations
  • Oversee H+S Site inductions for new starters and contractors
  • Oversee online office and WFH DSE Assessments and any remedial tasks
  • Monitor and Implement future changes to H&S legislation
  • Chair and lead quarterly H+S committee meetings
  • Oversee the development of BCP/DRP throughout the business

Compliance and Safety

  • Receiving reports of breakdowns or damage and planning repairs.
  • Ensuring compliance with relevant codes, regulations and legislation.
  • Conduct, review and update regular risk assessments and implement appropriate mitigation measures.
  • Monitoring EPC and Net Zero targets as required and in accordance with legislation, providing advice to the Executive as appropriate to ensure RKC makes continued improvements

Budget Management

  • Responsible for Property and Facilities Management Budget
  • Approval of Purchase Orders
  • Ensure Income id captured from tenants in Clarges Street and Aylesbury and Stoneleigh bookings are invoiced in advance of attendance
  • Monitoring monthly spending all sites

Security

  • Oversee Security operations for all sites
  • Joint Keyholder for Intruder and Fire Alarm all sites
  • Manage Manned Security Guard at Clarges Street
  • CCTV and Access Control operations for Clarges Street and Aylesbury

Multi-Site Operations

  • Ability to travel between Mayfair, Aylesbury and Stoneleigh on a regular basis
  • Oversee booking system and invoicing for Stoneleigh
  • Oversee postal operations for the business based at Aylesbury
  • Oversee collaborative partnership with Club, Membership services and Heritage and Culture teams at Clarges Street
