Responsibilities

Stakeholder engagement

  • Building and maintaining strong relationships with stakeholders, both at Company and Group level
  • Ensuring their needs are met and expectations exceeded

Compliance & Safety

  • Ensuring the business adheres to all Health & Safety regulations and legal requirements
  • Maintaining 100% statutory compliance at all times
  • Carrying out risk assessments ensuring safety & compliance across the offices
  • Standardising procedures across all AEIL's 10 UK offices
  • Supporting compliance with and achievement of ISO accreditations

Team Leadership

  • Supervising on-site staff & contractors
  • Ensuring adequate facilities management resource
  • Providing emergency/out-of-hours coverage where required

Budgeting and cost control

  • Specific focus on energy & utility efficiencies
  • Value for money maintenance contracts

Liaison with Facilities Management suppliers

  • Management of maintenance and repairs
  • Oversight of contracts, cost & quality control

Office maintenance and repairs

  • Ensuring all facility repairs and services are carried out in compliance with legal and H&S legislation

Asset register

  • Keeping equipment asset list up to date
  • Maintaining a statutory servicing and testing log for all equipment

UK Office strategy

  • Supporting the Corporate Services Director on the opening of new and closing of old offices

ESG

  • Providing and leading on strategies which align with Company ESG policy
  • Working closely with Group & AEIL department heads on sustainability initiatives to ensure carbon reduction targets are met
  • Overseeing carbon reduction roadmap and projects supporting action plan
  • Chairing the UK ESG Steering Committee (nice to have, not essential)

Skills Required

  • Experience working in a Multi-Site FM role
  • Strong knowledge of building systems, HVAC, electrical, plumbing, and fire safety systems
  • Able to source and manage external suppliers & contractors
  • IOSH / NEBOSH certification
  • Strong knowledge of ISO accreditations
  • Leadership experience with the ability to manage a team effectively
  • Excellent problem-solving skills and attention to detail
  • Good verbal and written communication

Essential Criteria

  • Relevant qualification from an Industry recognised authority
  • Membership of an Industry professional body
  • Strong interest in sustainability and carbon reduction
  • Demonstrable experience in a Facilities environment
  • Thorough understanding of relevant legislation (Health and Safety at Work Act, legal requirements)
  • Experience in budget preparation and presentation
  • Skilled in IT systems (PowerPoint, Excel, Word, Outlook)

Security Clearance

This role requires the successful candidate to hold a minimum of a Security Check (SC) clearance without any caveats to that clearance.

Due to the nature of work this role will be delivering and for the protection of certain assets, the successful candidate has to be a UK national or in MoD approved cases a Dual National from a non-ITAR country.
